Percent of purchase order request completed, properly receive items in once arrived, and distributing items to proper requesters
Which software installation problems interfere with your success?
- Too many purchase order requests for me to handle on a daily basis
- No way for me to systematically track each request and update the status without requiring me to call up each supplier to follow up on each request
- Handling software license purchase request has consumed majority of my time, causing me to be behind on my other orders
- There is no system for me to manager who requests what…So far, I’ve been making a list in excel and trying to keep it up to date as possible…not effective
- Hard to prioritize which requests to work on first if they are not business critical
- I receive each request in the form of an email that I have read over to understand what software license I need to buy. There is no standard software license request format
- I have to wait too long to get approvals from my manager, the requester’s manager, before I can place a PO to the supplier
How do you receive software license request to purchase now? (current process)
- Email from IT or company employees
What problems do you have with the current process?
- Same as questions on problems interfering with success
What can a new system do to improve the current process?
- Requires least step/time for me to be involved with this system
- The system should be automated and handled by an online system and such
- Create an automatic system to provide update of software license purchase order request to IT Personnel and the ultimate Request so that they don’t have to call me for updates
- Keep track of each request and purchase order so that I can easily refer to each request without scrolling down hundreds of emails to find it
- The request should be in a standard format with all important information that I need to create a PO already provided to me
- There should be a way to trigger the management team to approve a purchase order request sooner without me having to contact them
What are your expectations for usability of the product?
- Training of this new system should not take longer than 1 week
What are your expectations for training?
- Put together a user-manual for buyers of this new system…what steps of the software request process that buyers are supposed to touch
- Provide IT personnel list and their role and responsibilities so that if I need to ask a question of a specific software, I will know who to contact
- Training to take less than 1 wk
