FAQ

Q: I get a "You are not authorized to use this feature" message. What's up?

A: The Google Email Uploader is only enabled for users with Google Apps accounts, not standard GMail accounts. Also, you must first activate your email account by logging into mail.google.com/a/<your domain> and accepting the Terms of Service for your user account.

Q: The Email Uploader is still running from yesterday, but isn't making any progress. What will happen if I restart the tool now?

A: We recommend a restart if you're not seeing any progress. Restarting the tool will not cause duplicate email to be imported.

Q: Why does the Email Uploader report different numbers in "message failure" count and in the summary screen?

A: There are two reasons a message can fail to upload: (1) when the Email Uploader was unable to read a message from the email client, and (2) when the Email Uploader was unable to upload the message to Google's migration server. The summary screen does not reflect messages that couldn't be read from the email client, which include calender events, tasks, sticky notes, etc.

Q: Why is the "Add another mailbox" link disabled on the Customize screen?

A: This is changed in v1.1 - you may add another mailbox by clicking on the links on the right. We suggest you upgrade to 1.1.

Q: How do I set up a proxy for the Email Uploader?

A: Add the following to the GoogleEmailUploader.exe.config file in your Uploader installation directory. If this file does not exist, create one.

Q: I added a mailbox by mistake. How do I remove it?

A: Assuming you haven't uploaded your mail yet, go to your Google Email Uploader data directory open the UserData.xml file. Remove the entire <LoadedStore ...> element corresponding to the mailbox you want to remove.

Q: What happens if I start an upload but don’t finish it, or if new email is downloaded after I do an import?

A: The Email Uploader recognizes the previous state of the upload and restarts from that point., uploading any email that hasn't yet been migrated. However, changes in your email program, including different folders structure, newly downloaded mail, etc., may not be accurately reflected. This is because the Email Uploader is designed to be used as a one-time migration event. If you've made significant changes to your email program and want to do a new upload, go to your Google Email Uploader data directory and clean out the UserData.xml file. The Email Uploader will rescan your email program and you'll need to redo the upload configuration process.

Q: How will I be able to distinguish between imported email and the email I already had in Gmail?

A: All imported mail will have a label applied indicating that it was "Imported". Version 1.1 merges different mailboxes from different clients into a single GMail mailbox, but it preserves folders. If you wish to preserve your email clients, you may first rename the folders in the email clients to differentiate each client. E.g. "Outlook - Inbox". Alternatively, you may upload mail from one client's mailbox, select all that email in GMail, apply a new label ("e.g. Old Outlook Inbox"), and then upload your next mailbox.

Q: Can I pick and choose which emails to import?

A: The Mail Uploader reads the folder structure in your email program and lets you select which folders to import. You can designate specific emails for import by first going into your email program and grouping the email you want to import into folders. Then you can import only those folders containing the emails you want.

Q: The mail folders I set up in Thunderbird are not showing up in the Email Uploader. How do I import these emails?

A: If you stored emails in directories outside of the Thunderbird “Profiles” directory, the Email Uploader does not detect these files. You can add these directories by adding them as new Thunderbird mailboxes in the Select Mail customization screen.

Q: Which versions of windows are supported?

A: Windows XP and Vista.

Q: Why are Japanese mails getting garbled?

A: Currently we don't support control characters in the xml. Hence the encoding gets garbled. We are working on fixing this.

Q: Why do i get too many connection failures after uploading to some point?

A: This could be because of some email with large attachment. Moving it into a different folder is a good work around for now. We are investigating this.

Q: I get too many connection failures and upload does not proceed. What can i do?

A: Take a look at the trace file at the location given in AppData (Exact location in User Guide). If the exception says "The underlying connection was closed: An unexpected error occurred on a receive.", it has been observed that its a .NET 1.1 issue. Uninstalling .NET 1.1 and having .NET 2.0 in place removes this issue. We are looking for better workaround though.

Can you recommend a conversion program from other email formats like for very old "The Bat" Versions. Those are many many files for different folders that I would like to import.

I am not aware of conversion program for "The bat". The Google email unloader is extensible and someone could write a plugin for uploading from that version.

OS X version please?!?!?! The school I work for will be transitioning from Thunderbird to Google Apps this summer and having the staff's saved mail on their Google Apps would gone a really long way towards a smooth (emotional & psychological) transition.

I had a contact list on gmail already, although it was not the full contact list that I had in outlook. When I uploaded to gmail I saw that there were duplicates. (roughly about 200). I have since then deleted my whole gmail contact list in hopes that I could re-upload. Now the uploader is saying that the upload is complete, but it hasn't re-uploaded anything...

what do i do???

The program is freezing after uploading a few hundred of my emails. It then says the program has stopped. Any ideas? I did get 4 errors in the first 400+ emails. Also, I may have some emails with Japanese characters.

I've just installed Google Email Uploader and it start asking me my login and password and stops with the message "Loading mailboxes..." and throws an exception called System.OutOfMemoryException?.

I have a Sempron 3500+ with 2GB de RAM.

There seems to be a 5Mb limit on attachments, I.e if the email has an attachment more than 5 Mb and you are trying to upload, the tool will hang, and after a timeout period gives you a message that you have stopped it, the only workaround for me was to remove any e-mails having more than 5 Mb attachments, not sure if this information is mentioned or if that limit can be changed.

Mine uploaded about 10% of the emails, but continues to hang in the same place -- much like nkabouk was referring to. I removed all 5MB attachments AND updated my .net framework, and it still will not advance and upload subsequent emails from Outlook 2007. Looking forward to subsequent version of this software that won't get stuck.

Thanks for the suggestion about large attachments -- the program closes when I hit those larger attachments, but so far I can coax it into continuing if I can pull the right email from the folder to be uploaded. As a sidenote, I'm running Vista and pulling email from an old .pst file I added to Outlook 2007.

Hmmm -- I am a google apps user, and have logged-in and accepted terms of use (also enabled IMAP), and I still get the 'Not Authorized' message. ANything else that could cause it ?

Where is the "Google Email Uploader data directory" and the UserData?.xml file? It's not in "C:\program files\google\google email uploader" like one would expect. Nor is it in the "Application Data\Google" directory under my user account. Google desktop search was unable to find it either.

Those of you using Thunderbird (and others) may want to try this trick:

Thunderbird supports a wonderful feature not found in Outlook (but available as an extra-cost third-party add-on) that allows you to delete (or detach: save to disk and then delete from the mail) attachments while leaving the text portion of the Emails intact!

Sort your mailbox folders by size in Thunderbird, and do this to the largest Emails before using this tool. If using IMAP, be sure to do a Purge afterwards (preferrably not from within Thunderbird — see below!) to delete the big Emails with the attachments still intact which would only have been marked for deletion, not actually deleted until Purged.

If you use Outlook with IMAP or POP3 (with Leave a Copy of Messages on Server set) accounts, it may well be worth downloading Thunderbird just to get at this feature (the third-party add-on whose name I forget just off-hand costs money, but may be easier to use than having to learn a whole new mail client). Then refresh the views in Outlook, and proceed from there.

WARNING! Older versions of Thunderbird have been known to corrupt the mailboxes of certain types of IMAP Email servers (notably some versions of SmarterMail?) when a Purge is done, presumably while some other IMAP client is doing access (e.g. a normal get new headers pass) at the same time. This may be the fault of the server, but since it happened to me on more than one occasion, I personally have been leery of doing Purges in Thunderbird ever since, and the support forums do indicate that this happens mainly with Thunderbird.

"You have stopped..." message Hi,

I removed large attachments (<1Mb), desinstalled and reinstalled G-E-U, ticked one mailbox only (about 7 mails), ticked "folder" and "archive" options and still get that message.

Any idea of what to do more (I don't know how to create an IMAP account, etc.).

Hello, I tried to use the GEU, i have 1200 emails stored on thunderbird, but when the upload tried the email 113, Stops without my click, with this message "UPLOAD STOPPED - YOU stopped uploading email and contacts, but some data may have been uploaded. We will start from where you left off when you next run the program", and i tried again and after afew minutes, the same massege/action, why? has some limitations? i need take some actions before try teh upload? support attachments? some clue? how/where can i solve this issue?

I had issues with the contacts 1. If i update a contact's info such as phone numbers and the same contact exists on gmail it doesn't update the latest info 2. I synced outlook and gmail contacts I tried to do it again after some small changes to contacts the notes are duplicated in gmails contact's info

Just downloaded and installed Google Email Uploader. Pointed it to some Outlook 2007 folders and told it to Archive everything and it all ends up in my gmail inbox and unfortunately sent to my Blackberry. Any suggestions? User error or bug?

don't ask so match, they don't answer any way. use imap protocol to upload massages and "User accounts bulk update" from cpanel for upload the contacts. (and its good for not app accounts as well)

For people running Mac OS X, you can upload all your email using a different method.

  • Using Thunderbird connect to your old email account through IMAP,
  • Do the same with your new Gmail account. You need to have Imap activated in Gmail in order to access it from Thunderbird. .
  • Copy email from each folder of your old accout to gmail.

Disadvantages:

  • It will not copy your address book (but you can export your contacts from your desktop email program and then import the contact file in gmail)
  • It won't automatically create import labels in gmail but you can use a filter in Gmail that adds labels to the imported messages.
  • You will have to copy each folder seperately so it is a bit burdensome if your old email account you are migrating has many folders and subfolders.

When I try and check the 'Allow users to upload mail using the Email Migration API. (Administrators always have access to this API.)' - it does not remain checked. Hence, other account holders for my Google Apps domain can't upload Outlook email. HELP!

I aM GETTING THIS ERROR MESSAGE....ooops and I have copied my .pst file to the desktop and using the uploader I am having a difficult time.

We could not add the mailbox: C:\Users\internet\Desktop\Outlook\Outlook.pst. You may have already added this mailbox, it may be in use by another program, or it may be an invalid type of mailbox.

We have take a Domain named: sbspigments.com through Google in this we are facing the following problems to few users & that too while configuring Email in Outlook Express.

There was a problem logging onto your mail server. Your Password was rejected. Account: 'pop.gmail.com', Server: 'pop.gmail.com', Protocol: POP3, Server Response: '-ERR AUTH? Username and password not accepted.', Port: 995, Secure(SSL): Yes, Server Error: 0x800CCC90, Error Number: 0x800CCC92

But the same username & Acc works while using through any Browser.

So pl let me know what will be the problem..

This is NOT TRUE. I had some mail that was in both my Outlook mailbox and my GMail mailbox, and after the upload, the threads were combined in Gmail. That is, e-mail that was not imported also had the label that said it was imported. This is really annoying.

Why does my Google Email Uploader say that it's done 19900 of 29383 emails so far, but in my "ALL MAIL" (of gmail account) it says only 12000 messages? (BTW, it was a CLEAN, EMPTY account before I did the import.)

I'm getting "Error 2" too. That bugs been posted here for ages, I wish that Google would wake up and fix it.

I'd report it through their bug reporting channel if it wasn't so tedious!

When I try to sign into my Gmail account, in the firest step, I keep getting the following error:

"Either there is no default mail client or the current mail client cannot fulfill the messaging request. Please run Microsoft Office Outlook and set as the default mail client"

But I am using Thunderbird, why is it doing this?

Possible resolution to "Error 2" message in Vista: Check your Start Menu. The application may have installed despite the error message.

I am frustrated - I waited days for my 19 gigs to upload to Gmail, and only 70k of the 400k emails were uploaded. Yet, the Uploader tools says it's done and finish. The gmail box shows a sloppy mess of some messages in some places, none in others, not even close to the layout in my original PST file. What gives?

The email uploader will get emails back into Gmail, however they go back into outlook. What can we do to stop them from going back into outlook?

Problem solved for me, by Enabling the IMAP gmail web mail > Settings > Forwarding and POP/IMAP > Enable IMAP

The uploader program always fail at some point and pop a widnow to be itself terminated. I wonder if it meets an email with an attachment more than 20M size so it reports error and terminated. Could anyone experienced help me solve the problem at 583657531@qq.com? Thank you!

You cannot use this tool if you're just using gMail by itself. It's only for Google Apps users, in which case your email is attached to a domain either YOU own (thus the verbiage: "for your domain") or of which you are a member. You can use Google Apps Standard if for personal use, which is free, but doesn't contain the collaboration tools and other features of Google Apps Premium. Google Apps Premium costs $50/yr for businesses, but free for schools.

Note that creating a Google Apps account takes a little bit of know-how so find someone who knows about setting up domains etc to help you if you're clueless.

When you use this tool, after you've created your Google Apps account, be sure and type into the application the email address attached to your domain which you specified when you created the Google Apps account (not your gmail email address).

Alternatively if you don't want Google Apps you can use the "import mail and contents" feature of your existing gmail accounts, however this will not pull mail from your desktop email programs. This should work however if you have an IMAP account, pulling the data from your IMAP server.

I am wondering if the problem with "Your upload has paused temporarily because we were unable to reach the server" has been sorted out...I have a large PST file (9GB) which I am trying to migrate to Google, but with this rate I am not sure it will ever be done! Is there an faster easier alternative??

For Outlook 2003+ PST files, there is a free (open source) alternative that will upload your email (with other calendar items, etc. coming soon). It works on normal Gmail accounts (no need for Apps). It will resume uploads if stopped half-way through with the logging system and should work on very large PST files. Built on Java so it's platform independent.

We have Google Apps Education, I have let a few users try to upload their mail. One of them said all their uploaded mail showed "unknown" for the sender information so she deleted all the emails and tried to upload them again. Now it will only upload her new emails. Any idea why this is happening?

I would migrate from outlook to gmail if I could send html messages from gmail. But there is no way to place html tags or images in a gmail message, so the result is unprofessional.

You could create a macro in outlook, open a folder, select the email you want send and run. Here's the code I knocked up to send my email. Make sure you specify your email address:- Sub ForwardEmail?()
